Detailed Definition

Pallet procurement covers everything from working out what pallets a site needs to keeping supply flowing. Typical steps are a needs assessment (footprint, design, load, entry type, treatment, new or recycled), supplier qualification, a request for quote, negotiation and award, supplier onboarding and ongoing performance review. Because pallets are a recurring, high-volume purchase with lumber-driven price swings, many organizations manage them as a category and look at total cost of ownership, on-time delivery and quality defects rather than unit price alone.

Writing a pallet specification suppliers can meet

Most pallet sourcing problems start with a vague specification. A usable spec states overall dimensions, deck board count, width and thickness, stringer or block sizes, species group, fastener type and pattern, entry type and any treatment such as ISPM-15 heat treatment. For recycled pallets, write down what each grade means, because grade names vary between suppliers. Designs can be checked against the NWPCA Uniform Standard and evaluated with the Pallet Design System to confirm rated loads.

Qualifying and managing pallet suppliers

Before awarding business, confirm the supplier can produce the volume, deliver to each site on schedule and hold the specification consistently. For export pallets, confirm the facility is registered under an approved ISPM-15 program. After award, inspect deliveries against the spec, track late and short deliveries, and review results with the supplier on a regular schedule.

Frequently Asked Questions

Should pallets be bought on contract or on the spot market?

It depends on volume and how predictable demand is. Steady, high-volume users often benefit from a contract or agreement that fixes the specification, delivery schedule and a pricing method, sometimes with prices linked to lumber market movement. Spot buying can suit small or irregular needs but leaves the buyer exposed to price swings and shortages. Many buyers combine a primary contracted supplier with a qualified backup for surges.

How often should a pallet specification be reviewed?

Review it whenever something that affects the pallet changes: the product or load weight, customer pallet requirements, racking, handling equipment or automation, or export destinations. Many companies also review on a fixed cycle, such as yearly, to check for overbuilt designs or recurring damage. Any design change that affects load capacity should be evaluated with design software or testing before it is approved.
